Managing your Scheduled Reports

Pause, resume, run, edit, duplicate and delete your Scheduled Reports and their locations, find the one you need, and fix a run that failed.

Once your Scheduled Reports are running, you'll adjust them over time. This guide covers every action you can take on them.

Where the actions are

On the list

Go to Visibility > Scheduled Reports. Each row has:

  • A toggle that switches the Scheduled Report on or off

  • A menu (⋮) with:

Click the row to open the Scheduled Report, or the line under its AI platforms to open its Locations tab.

On its page

The header of a Scheduled Report's page holds the Active switch, Share, the gear icon (Schedule settings), Duplicate schedule, Delete schedule and the Run now button.

Who can do what

  • Owners and editors of the brand switch Scheduled Reports on and off, run them, edit their settings, duplicate them, and manage their locations and prompts.

  • Only the brand owner can delete a Scheduled Report or a location.

  • Everyone else on the brand sees them read only.


Pausing and resuming

When to pause

Switch a Scheduled Report off when:

  • You're on vacation and don't need data

  • You want to save credits for a while

  • You're making big content changes and want to measure after

  • It's a seasonal business, off season

How to pause

  • From the list: click the row's toggle

  • From its page: click the Active switch in the header

What happens while it's off

  • It doesn't run on its own

  • Run now is disabled

  • Its settings, locations, prompts and history stay as they are

  • The list shows it as Paused

Resuming

Switch it back on. It runs at its next run date. If that date has already passed, the list shows Soon and it runs shortly.


Running it now

When to use Run now

  • You just created a Scheduled Report and want data today

  • You changed your content and want to see the effect

  • You need fresh numbers for a meeting

How

  1. Open the Scheduled Report

  2. Click Run now (top right) to run every active location. The button shows the credits the run will use.

  3. To run one location only, click the arrow next to Run now and pick it. Run all locations runs them all; a paused location can't be picked until you resume it.

  4. Follow the progress in the notification that opens

A run that takes long keeps going in the background, and a notification tells you when it finishes. You can also run a single location from its Settings (Run manually).

After the run

  • The run appears in the History tab, with one report per location

  • Overview, Prompts and Trends show the new data

  • Credits are charged for each location's report

Note: Run now spends credits right away: 1 credit per prompt in each location on up to 3 AI platforms, 2 credits on 4 to 6. See How credits work.


Editing the settings

Click the gear icon on the page, or Settings in the list menu, to open Scheduled Report Settings:

Click Save changes. The window also has Run now under Run manually.

Changing the frequency

The next run keeps the date shown in Next run date & time; change that date too if you want the new rhythm to start sooner. From then on, runs follow the new frequency. Your history stays.


Duplicating a Scheduled Report

Use Duplicate to copy a whole Scheduled Report, for example to track the same prompts on another cadence.

  1. Click Duplicate in its menu, or Duplicate schedule on its page

  2. Check the Schedule name (it starts as the original name with "(copy)") and the Frequency (it starts on a different one: Monthly for a weekly Scheduled Report, Weekly for the others)

  3. Click Duplicate

The copy gets the same locations with their active prompts, and the same client delivery settings. Run history isn't copied: the copy starts fresh.


Managing locations

Open a Scheduled Report and go to the Locations tab. Each location can be paused or resumed, duplicated (to this or another Scheduled Report), edited or deleted, and Add location adds a new market. You see the credits the new location adds before you confirm.

You can pause single locations while the Scheduled Report keeps running. For example, track the United States and the United Kingdom, and pause the United Kingdom over the holidays: only the United States runs.

Filtering Visibility, Sources and Outreach by Scheduled Report

In the Reports filter of the Visibility, Sources and Outreach pages, the Scheduled tab lists your Scheduled Reports:

  • Pick a Scheduled Report to select all its reports

  • Expand it to see its location chips: pick one or several markets

  • Below the chips, reports are grouped by run ("Run of" a date), so you can pick a single run

The Individual tab lists the reports you ran on your own.


Deleting

Only the brand owner can delete.

Deleting a Scheduled Report

Warning: this permanently deletes:

  • The Scheduled Report

  • All its locations

  • Every report its runs produced

Future runs stop at once. To delete, click Delete in its menu or Delete schedule on its page, then confirm with Delete Scheduled Report.

Tip: Switch it off instead if you might want the data later.

Deleting a location

Warning: this permanently deletes the location, its prompts and every report its runs produced. To keep the history, pause the location instead.

Click Delete on the location's row in the Locations tab, or Delete location on its page, then confirm.


Finding a Scheduled Report

When you have many, use the bar above the list:

The export button saves the page you're looking at as CSV.

  • "Which ones are failing?" Status: Failing

  • "What runs next?" Sort: Next run

  • "Where's my UK tracking?" Search for its name


When a run fails

Not enough credits

  • On the list, the last run shows in red; hover it to read Insufficient credits

  • On its page, an Insufficient credits alert has a Top up credits link to Plans > Top-ups

With a live subscription, the Scheduled Report stays on and tries again at its next run. On an account without a live subscription (for example on the Free plan), it is paused and you get a notification: top up, then switch it back on.

In a white-label app, the alert says the run could not complete and asks you to contact your account owner.

Other errors

The page shows Last execution failed with what went wrong. The Scheduled Report stays on and tries again at its next run.

Common fixes:

  • Check that its locations are active

  • Make sure each location has prompts (a location with none is paused at run time)

  • Email support if it keeps failing


Best practices

Use clear names

  • Good: "Weekly US Cities (English)", "Daily NYC Tracking"

  • Not ideal: "Schedule 1"

Review once a month

  • Check for failed runs

  • Look at the trends

  • Pause the Scheduled Reports and locations you no longer need

  • Update prompts that no longer matter

Keep credits under control

  • Pause seasonal locations off season

  • Merge similar locations into one Scheduled Report

  • Pause prompts that don't earn their place

Organize by purpose

Group Scheduled Reports in a way that makes sense to you:

  • By market (United States, United Kingdom, Europe)

  • By how often you need data (daily for competitive markets, weekly for stable ones)

  • By team (marketing, sales)
