Client reports

Build a branded report for each client from blocks of live data, publish a frozen version with its PDF, then share it or email it. Templates for monthly, quarterly, pitch, audit and local reports. Building is on every plan; your branding and email delivery come with the Agency plan.

A client report is a stack of sheets, each holding one to four blocks of the client's data, over your own branding. You build it once from a template, and publishing freezes a version, so what you sent stays what you sent.

Open it from Visibility > Client reports in the sidebar, then click New report.

What

Plan

Build, publish, download the PDF, share

Every plan

Your logo, colors and company name on the report

Agency and above

Several clients at once

Agency, on a paid subscription

Email delivery and Send to client

Agency, on a paid subscription (not the trial)

Every brand's reports in one list

Agency Plus, in agency mode

Rendering a PDF, sharing and sending spend no credits.

Starting a report

On New report:

  1. Pick One client or Several clients. Several clients makes one report per client from the same template

  2. Choose the Client and a Title

  3. Whose brand: Your agency puts your logo on every page and the client's name and logo on the cover. The client signs every page with the client's name and mark and leaves yours off; your colors and typeface stay

  4. Language: the language of the report's sentences, the client's own by default

  5. Pick a template, then click Start report

Templates

Template

What it starts with

Monthly visibility

The retainer report: what moved, against whom, and what happens next (16 sheets)

Quarterly executive

The arc of the quarter, not the detail (8 sheets)

New business pitch

A prospect today and the gap to close (8 sheets)

Brand audit

Reputation, its sources and what to fix first (7 sheets)

Whole brand

AI visibility, search, the site, traffic and the work (22 sheets)

Single run

One run in full: every prompt, AI platform and source (10 sheets)

Schedule overview

A Scheduled Report across its runs (6 sheets)

Local monthly

For a business with places: Places at a glance, Local rankings map, Map position over time, AI grid, Directory gaps, Business Profile and the work (12 sheets)

Start from nothing gives an empty report. The account owner can keep any report's sheets as a template (Save as a template) and make one the default. Only the sheets are saved, never a client's numbers or your sentences.

Blocks

Click Add a block to open the tray. A block the client cannot fill yet is greyed out with the reason, such as Not connected or No data for this client yet.

Text: Cover (your logo, the client and the period), Contents, Section opener (a chapter divider), The verdict (the score and one sentence), Analyst note (a page of your own), At a glance, Get in touch.

Visibility: Stat, Where you stand, Visibility over time, AI platform by prompt, Where you appear, Where you are missing, By category, Prompt trends and Region by region (both need a run that belongs to a Scheduled Report), Every run, What we asked.

Competitors: Share of voice, Competitor ranking, The race.

Sources: Who gets cited, Citation detail, Citation outreach.

SEO: Keyword rankings (tracked keywords checked in Google), Site health, SEO issues and Against competitors' pages (tracked pages with a finished audit).

Integrations: Google Analytics (Traffic from AI, Site traffic, Where AI visitors land), Search Console (Search performance, Top search queries, Top pages in search, Who finds you, Clicks against position), Bing Webmaster Tools (Bing search, Copilot citations, which needs a Bing AI Performance export uploaded) and Business Profile.

Reputation: Reputation score, Tone by AI platform, Tone by kind of site, Key themes, What is being said, Sources behind the answers, Reputation next steps. These read a completed brand audit.

Work: Done and next (the brand's tasks), Recommended next steps, Content published.

Editing and preview

  • Drag blocks onto a sheet or between sheets. A sheet holds up to 4 blocks and a report up to 60 sheets

  • In Sheets, reorder, Duplicate, Hide from the paper or Remove a sheet

  • Select a block to change its heading, rows shown, window or width

  • Write the sentences (verdict, openers, notes) in place on the sheet

  • Settings changes the template, typeface, density, whose brand and language. Apply template keeps your headings, row counts and sentences on the blocks both share

  • Edits save on their own, with Undo and Redo

The builder shows today's numbers. Present shows your draft full screen, one sheet at a time.

Publishing and versions

Publish freezes a version: the sheets, the numbers as they are right now, your sentences and your branding. Editing afterwards does not change it. The toolbar badge shows the version, for example v3, edited since, and printing, sharing and downloading always give the published version. Publish again to make the next one.

PDF

The PDF renders after you publish, in about a minute. Click Download PDF in the builder or on the report's row. Print opens the print sheet in a new tab. If a render fails, publish again to retry it.

Sharing

Share creates a Client report link to the published version. The link keeps that version: publish again and share the new one. Manage links in Shares, and every shared report also appears in the brand's Client portal.

Email delivery

On a Scheduled Report, open the Delivery tab and turn on Email this report to the client:

  • Recipient emails: up to 10, plus the client email saved on the brand. Also send me a copy adds you

  • Report template: the template each run builds the report from

  • Review before sending (on by default): each run's report waits in Client reports as Waiting for review until you click Send to client

  • Intro message: an optional note at the top of the email

The email carries a share link and the PDF, and is written in the brand's language. Delivery needs the Agency plan on a paid subscription: on the trial, runs do not email anyone.

Your branding

With the Agency plan, reports carry the logo, colors, typeface and company name from White label > Branding. A published version keeps the branding it was published under. Turn on Hide "powered by Rank Prompt" to remove the attribution from PDFs and shared reports. When the app runs on your own domain (Agency Plus), it is always hidden and the print sheet and links open on your domain, so nothing says Rank Prompt.

Managing reports

The list filters by Drafts, Published, Waiting for review, Archived and Exports (PDFs made when someone downloads a report run). Select rows to publish, apply a template, send, archive or delete several at once. Deleting a published report archives it instead, because its versions are what the client received.

Next steps

  • Shares: every link your team created

  • Client portal: one link per client brand

  • White label app: the app on your own domain
