Client-facing emails (report delivery, review requests, client and team invites, sign-in emails and notifications on your domain) can go out from your own domain with your sender name. Set this up under White label > Domains.
The tab has three cards:
Agency domain: the domain that serves links and the app (see Agency Domain)
Sending domain: the domain emails are sent from
Sender details: sender name, sender email, support email, and business address
Go to White label > Domains, Sending domain card
Enter a subdomain to send from, for example mail.youragency.com, and click Add domain
Add the records shown (DKIM, SPF, and a Return-Path CNAME) at your DNS provider
Click Verify DNS. We ask our email provider to confirm the records; this can take a few minutes
Statuses:
Status | Meaning |
|---|---|
Pending DNS | Domain saved, records not yet verified |
Verifying | Verification requested, waiting for DNS |
Verified | Emails are sent from your domain |
Not detected | Records did not resolve. Check the list on the page and verify again |
Use a dedicated subdomain rather than your root domain so our records do not interfere with your regular mail. A sending domain can be verified by one account at a time. Remove and Change ask for confirmation: emails go back to the Rank Prompt sender until a domain is verified again.
Field | Used for |
|---|---|
Sender name | The display name on outgoing emails |
Sender email | The Reply-To address. Replies from clients land here |
Support email | Shown in email footers, share pages, and the portal. Used as Reply-To when Sender email is empty |
Business address | Added to the footer of prospect pitch emails (required by commercial email rules such as CAN-SPAM) |
Sender details are shared with the Prospecting mailing settings; changing them in one place updates both.
From address
Sending domain verified on Agency Plus: reports@your-sending-domain, with your sender name as the display name
Otherwise: Rank Prompt's notification address. On the white-label app your company name is still used as the display name
Reply-To
Sender email, if set
Otherwise Support email, if set
Otherwise Rank Prompt support, except on your own domain where no Reply-To is added
Set at least a sender email so client replies reach you.
Logo, name and colors in the email body
Emails carry your logo, name and colors when the white-label app is live on your domain or the sending domain is verified. Until then they use the Rank Prompt identity, so your own notifications never mix your logo with a Rank Prompt button.
Automated client report delivery (Agency Plus)
Article review requests and review activity
Team and client invites sent from your domain
Notifications for users signed in on your domain
Sign-in emails on your domain: confirmation, password reset, magic link, email change
Outreach and campaign emails sent through a connected Gmail account go out from that Gmail address and are not affected by these settings.
No. They are independent. You can verify a sending domain without an agency domain and vice versa.
Technically yes, but we recommend separate subdomains (for example mail. for sending and clients. for the app) so the DNS records stay easy to manage.
DKIM and SPF verification is exactly what keeps them out. Keep the records in place; if you remove them the status flips to Not detected and sending falls back to our address.
The Agency plan can set sender details and they apply to white-label exports and share pages. Sending from your own domain requires Agency Plus.
