Managing Your Schedules

Once you've created scheduled reports, you'll need to manage them over time. This guide covers all the actions you can take to keep your tracking efficient and organized.

Quick Actions Overview

From the Scheduled Reports list, each schedule has action buttons:

Pausing and Resuming

When to Pause

• You're on vacation and don't need data

• You want to save credits temporarily

• You're making major content changes

• It's a seasonal business (pause off-season)

How to Pause

Method 1: From the List

1. Find the schedule

2. Click the button

Method 2: From Detail Page

1. Click the schedule to open it

2. Click the button in the header actions

What Happens When Paused

• Schedule won't run automatically

• "Run Now" button is disabled

• All settings and history are preserved

• Badge changes to "Paused" (gray)

Resuming

Click the button to resume. The schedule will:

1. Calculate the next run time based on frequency

2. Show the updated "Next Run" time

3. Run at that scheduled time (or use Run Now)

Running Manually (Run Now)

When to Use Run Now

• Just created a schedule and want data immediately

• Made content changes and want to see impact

• Need fresh data for a meeting or report

How to Run Now

1. Open the schedule detail page

2. Click "Run Now" button (top right)

3. Watch progress in the toast notification

What You'll See

• A toast notification shows:

  • Processing status for each location config

  • Real-time progress updates

  • Completion confirmation

After Run Now

• New report appears in Reports History

• Analytics updates with new data point

• Credits are deducted

Note: Run Now uses credits immediately. Each prompt = 1 credit.

Editing Schedule Settings

1. Click the settings icon on the schedule

2. Modal opens with editable fields

3. Make changes

4. Click "Save Changes"

Changing Frequency

• Changing from weekly to daily (or vice versa):

  • Takes effect immediately

  • Next run recalculated based on new frequency

  • Historical data is preserved

Managing Location Configs

View All Configs

1. Find your schedule

2. Click "X location configs" to expand

3. See all configs with their status

Config-Level Actions

Pausing Individual Configs

You can pause specific configs while keeping the schedule active:

Example: Track US and UK, but pause UK during holiday season:

• Schedule: Active

• US Config: Active (runs normally)

• UK Config: Paused (skipped during runs)

Duplicating Configs

Perfect for quickly setting up similar markets:

1. Click on an existing config

2. Modal opens with copied settings

3. Change what's different (location, language)

4. Click "Create"

Use case: Duplicate "US - English" to create "US - Spanish"

Deleting Schedules and Configs

Deleting a Schedule

Warning: This permanently deletes:

• The schedule itself

• All location configs

• All historical reports

How to delete:

1. Click on the schedule

2. Confirmation modal appears

3. Confirm deletion

Consider pausing instead if you might need the data later.

Warning: This permanently deletes:

• The config

• All prompts in that config

• Historical data for that config

How to delete:

1. Expand the schedule

2. Click on the config

3. Confirm deletion

Filtering and Sorting

When you have many schedules, use filters to find what you need:

Available Filters

Using Filters

1. Use the dropdown filters at the top of the list

2. Multiple filters stack together

3. Click "Clear" to reset all filters

Filter Use Cases

• "Show me all daily schedules" — Filter by Frequency: Daily

• "What's running next?" — Sort by Next Run: Soonest

• "Find my UK tracking" — Filter by Country: United Kingdom

Handling Errors

Credit Errors

If a schedule fails due to insufficient credits:

1. Error message appears on the schedule card

2. Link to "Top up credits" provided

3. Schedule remains active but won't retry until next scheduled time

Fix: Top up credits in Billing → Top-ups

Other Errors

If a schedule fails for other reasons:

1. Error message shows what went wrong

2. Schedule remains active

3. Will retry at next scheduled time

Common fixes:

• Check if location configs are active

• Ensure prompts exist in configs

• Contact support if issue persists

Best Practices

Use Clear Names

Good names help you find schedules quickly:

• "Weekly US Cities - English"

• "Daily NYC Tracking"

• "Schedule 1"

Review Regularly

Monthly review checklist:

• Check for failed runs

• Review analytics for trends

• Pause unused schedules

• Update prompts if needed

Optimize Credits

• Pause seasonal schedules during off-season

• Consolidate similar configs

• Remove prompts that aren't valuable

Organize by Purpose

Create schedules that group logically:

• By market (US, UK, EU schedules)

• By frequency need (daily for competitive, weekly for stable)

• By team (Marketing schedule, Sales schedule)
