A Scheduled Report is the way to track your AI visibility on a steady cadence. This guide walks you through creating one, from an empty form or from a report you already ran.
You need:
Credits for the runs (each run charges every active location)
Optionally, a completed report whose prompts you want to track
Scheduled Reports are open on every plan. Owners and editors of the brand can create them. You don't need an existing report: you can start empty and add prompts later.
Start from | What happens |
|---|---|
An empty form | Your locations are created paused and the Scheduled Report stays switched off. Open each location, add its prompts and resume it, then switch the Scheduled Report on. |
A report | The report's prompts are copied to every location you add. Its country, city, language and AI platforms fill in the form. |
Prompts you pick | On Visibility > Prompts, New prompt can open a new Scheduled Report with the prompts you typed. Every location starts with them. |
You can start from a report in two places: the Prompts field of the form, or the Schedule button on the report's own page (see below).
Go to Visibility > Scheduled Reports in the sidebar
Click New schedule (top right)
The Create Scheduled Report window opens.
Fill in Schedule name and pick a Frequency:
Frequency | Best for | Runs |
|---|---|---|
Daily | Active campaigns, fast-moving markets | Once a day |
Weekly | Most brands (the default) | Once a week |
Monthly | Stable markets, a smaller credit budget | Once a month |
Tip: Start with Weekly. It gives you enough runs to see a trend without spending many credits.
If you pick a report in the next step, the name fills in from it. You can change it anytime.
In Prompts, pick one of:
Start empty and add prompts later: the locations start paused until you add prompts to each one from its page, and the Scheduled Report starts switched off.
A completed report (listed with its location and its number of prompts): every location tracks that report's prompts. If the report's city isn't a standard location, a standard one is filled in instead.
Each location is a market: a Country, an optional City (leave it empty to track the whole country) and a Language.
Click Add location to add another market, up to 20 per Scheduled Report
Each location shows the credits it uses per run
The same country, city and language can't be added twice
Every run makes one report per location, never one mixed report.
Choose the AI platforms to ask: ChatGPT, Claude, Gemini, Grok, Perplexity and Google AI Mode (AI Overviews), all available on every plan. The form starts with ChatGPT, Claude and Google AI Mode (AI Overviews).
1 to 3 AI platforms: 1 credit per prompt
4 to 6 AI platforms: 2 credits per prompt
On Agency or Agency Plus, the Client delivery section can email each run's report to your client:
Email this report to the client turns it on
Recipient emails: up to 10 (press Enter after each one)
Intro message (optional): a short note at the top of the email
Report template: which pages go in the report (your default template, or Schedule overview)
Review before sending: each run's report waits until you send it
Also send me a copy
Client delivery starts when your subscription does, not during a trial. You can set it up later from the Scheduled Report's Delivery tab.
The footer shows the credits per run and how many locations they cover. Click Create schedule. The new Scheduled Report opens.
On any completed report, click Schedule. The Track this report on a schedule window opens with that report's prompts, market and AI platforms, and asks Where to track it:
New Scheduled Report: name it, pick a frequency and create it, as above.
Add to an existing one: choose one of your Scheduled Reports. The report's market is added to it as a new location with the report's prompts, and you land on its Locations tab. You can add more markets before you confirm.
After you create it with prompts, your Scheduled Report:
Appears in the list switched on, with its next run
Runs on its own at that time, leaving one report per active location
Fills its tabs (Overview, Trends, History) as runs complete
Created empty, it waits switched off: add prompts to its locations, resume them and switch it on with the toggle on the list or the Active switch on its page.
The first run comes one period after you create it: a day, a week or a month later.
Don't want to wait?
Open the Scheduled Report
Click Run now. The button shows the credits the run will use.
To run one location only, click the arrow next to Run now and pick it (the arrow appears once there are 2 locations or more)
Follow the progress in the notification that opens
A long run keeps going in the background, and a notification tells you when it finishes.
Once the first run completes, you have:
A Visibility score for each location
Your first run in the History tab
A baseline that later runs compare against
Open the Trends tab after the second run to see how visibility moves.
Add locations anytime from the Locations tab. Use them to:
Track the United States and the United Kingdom separately
Compare English and Spanish visibility
Follow several cities in the same country
Learn how: Understanding locations
Begin with your most important prompts and markets. You can add locations and prompts later.
The runs happen at the time in Next run date & time. If you review numbers on Monday mornings, set the next run for the weekend in the Scheduled Report's settings, and the weekly runs follow from there.
Each location costs its prompts times the credits per prompt, on every run. Once you run several Scheduled Reports, the strip above the list shows the credits they will use in a month.
Going on vacation? Switch the Scheduled Report off instead of deleting it. Switch it back on and it keeps its locations, prompts and history.
Yes. Open it, go to the Locations tab and click a location: its page lets you add prompts, edit them and pause them. On Visibility > Prompts you can also edit tracked prompts, pause them, or copy and move them to another location.
Yes. Click the gear icon (Schedule settings) on its page, or Settings in its menu on the list, and change Run frequency.
The last run shows in red on the list, and the Scheduled Report's page explains what went wrong. Common causes:
Insufficient credits: the page links to Top up credits (Plans > Top-ups)
No prompts: a location with no prompts is paused and doesn't run until you add prompts and resume it
