Creating Your First Schedule Report

Step-by-step guide to setting up automated AI visibility tracking that runs on your schedule.

Creating a scheduled report is the best way to track your AI visibility consistently over time. This guide walks you through the entire process.

Before You Start

You'll need:

  • ✅ At least one completed visibility report (to use as a template)

  • ✅ Credits available for recurring runs

💡 Don't have a report yet? Run a visibility report first from Reports → All Reports → New Report. The schedule will copy your prompts and settings from that report.

Step-by-Step: Create a Schedule

Step 1: Open Scheduled Reports

  1. Navigate to Reports → Scheduled Reports in the sidebar

  2. Click the "New Schedule" button (top right)

Step 2: Select a Report to Clone

The modal will show your completed reports. Choose one to use as a template:

What gets copied

What you can change

✅ All prompts

✅ All that gets copied

✅ Location/Country

✅ Frequency

✅ Language

✅ Schedule name

✅ AI Platforms

Select the report that has the prompts and location you want to track.

⚠ Non-standard location warning: If your original report has a custom location like "downtown Chicago", you'll see a warning. We'll suggest a standardized version for more accurate tracking.

Step 3: Choose Your Frequency

Select how often you want the schedule to run:

Frequency

Best for

Runs

Daily

Active campaigns, fast-moving industries

Every day at the same time

Weekly

Most businesses (recommended)

Once per week

Monthly

Stable industries, budget-conscious

Once per month

💡 Our recommendation: Start with Weekly. It gives you enough data points to spot trends without using too many credits.

Step 4: Name Your Schedule

The name auto-generates based on your report, but you can customize it:

Good naming examples:

  • "Weekly US Visibility"

  • "Daily NYC Tracking"

  • "Monthly Spanish Market"

Step 5: Review and Create

Before clicking "Create Schedule", check:

  • 📍 Location — Is this the right market?

  • 🗣 Language — Is it set correctly?

  • 📊 Prompts — Expand to see all prompts being tracked

  • 💰 Credits — See the cost per run in the footer

Click "Create Schedule" to finish!

What Happens Next

After creation, your schedule will:

  1. Appear in the list with status "Active"

  2. Show "Next Run" time based on your frequency

  3. Run automatically at the scheduled time

Run It Now (Optional)

Don't want to wait? You can run it immediately:

  1. Click on your new schedule to open details

  2. Click the "Run Now" button

  3. Watch real-time progress in the toast notification

After Your First Run

Once the first run completes, you'll have:

  • ✅ A baseline visibility score

  • ✅ Your first entry in Reports History

  • ✅ Data that will compare against future runs

Go to the Analytics tab to see trends as more runs complete.

Want to Track Multiple Regions?

Your schedule can track more than one location! Add Location Configs to:

  • Track US and UK separately

  • Compare English vs Spanish visibility

  • Monitor different cities in the same country

Pro Tips

🎯 Start Small, Expand Later

Begin with your most important prompts. You can always add more location configs later.

📅 Align with Your Workflow

If you review marketing metrics on Mondays, set weekly schedules to run on Sunday night so data is fresh.

💰 Monitor Credit Usage

Each prompt × each location config = credits per run. Keep an eye on the credit badge to stay within budget.

⏸ Pause When Not Needed

Going on vacation? Pause your schedules instead of deleting them. Resume anytime without losing settings.

Common Questions

Can I edit the prompts after creating a schedule?

Yes! Go to the schedule → click a location config → edit prompts from there.

Can I change the frequency later?

Yes, click the settings icon (⚙) on any schedule to change frequency.

What if my schedule fails to run?

You'll see an error message on the schedule card. Common causes:

  • Insufficient credits — Top up credits in Billing
