The Email Hub is where outreach runs at scale. Backlink outreach is built around single pages AI cites; the Email Hub holds your contacts and lists, the templates and sequences you reuse, the campaigns that send them, and the replies that come back.
Pick your brand in the brand switcher
Go to Outreach > Email Hub in the sidebar
The Email Hub needs the Pro plan or higher (on a shared brand, the brand owner's plan counts). Owners and editors can create and send; viewers can read.
Backlink outreach | Email Hub | |
|---|---|---|
Starts from | A page AI cites | A contact list |
Best for | One personal email per page | The same outreach to many people, with follow-ups |
Contacts | The ones found on each page | Every contact, found, imported or added by hand |
Follow-ups | Written one by one | Sent by a sequence |
Numbers | Totals for your outreach emails | Per campaign, per step and per variant |
The two share one mailbox setup and one set of emails: an email sent from Backlink outreach also shows in the Email Hub Emails tab.
The replies to your outreach, with From, In reply to, Message and Received. Show All replies or only Unread; the tab label counts the unread ones, as in Inbox (3). Open a reply to read the whole conversation; opening it marks it as read.
Your campaigns, with Sent, Open rate, Reply rate, Bounce and Created. New campaign starts the campaign builder (if you left one unfinished, choose Restore draft or Start fresh). Compare puts up to 4 campaigns side by side. Click a campaign to see its numbers, enrollments and settings. See Campaigns and sequences.
Every email, campaign emails included, with Total sent, Open rate, Reply rate and Bounce rate at the top. Filter by status (Draft, Scheduled, Sent, Opened, Replied, Bounced, Unsubscribed, Failed), by campaign, by Replies or with Filter by domain.... Select drafts, scheduled and failed emails to delete them together; sent emails are kept.
Every contact of the brand: the ones found by analyzing cited pages, the ones you import and the ones you add by hand.
Column | What it shows |
|---|---|
The address | |
Name | The person |
Company | Their company |
Tier | How valuable the contact is for outreach, from T1 (decision makers such as authors and editors) to T6 |
Citations | The cited pages linked to them |
Status | Active, Bounced or Unsubscribed |
Verified | Whether the address is verified |
Tags | Your own labels |
Last contacted | When you last emailed them |
Sent, Reply rate | How many emails they got and how often they answered |
Open rate, LinkedIn, Twitter, Links and Updated are also available from the column settings. Search by email or name, and filter by email (Has email, No email, Verified), by role (Author, Editor, Writer, Team) and by tier.
Add contact adds one by hand
Import CSV adds many: the file needs an email column, and can carry name, company, website, LinkedIn and Twitter (Download template gives you the format); you can drop them straight into a list
Duplicates groups contacts that look like the same person, so you pick the one to keep and Merge
Select contacts, up to 100 at a time, to Add to list, Tag them (add or remove tags) or delete them
Contact lists are the audience of a campaign. Create list offers two kinds:
Static list: you add and remove contacts yourself
Dynamic list: contacts join and leave on their own when they match your filter conditions. Templates gives you ready filters, such as Top tier verified, Verified and ready, Needs follow-up or Never contacted
Reusable emails for campaigns and sequences. Create template asks for a Template name, a Type (Backlink request, Inclusion request, Relationship building or Follow up), an Email subject and an Email body. Click a variable to insert it, and use Show preview to see it filled in (Simulate missing data shows what happens when a contact lacks a field). Your signature is added when the email is sent.
Variable | Fills with |
|---|---|
| Recipient name |
| First name |
| Recipient email |
| Company name |
| Your brand |
| Citation URL |
| Page title |
| Contact role |
The last three are outreach variables: they only fill in for campaigns created from citations.
An example:
Subject: Quick question about {{page_title}}
Hi {{first_name}},
I read your article "{{page_title}}" and liked your point on [specific point].
I recently published a guide on [related topic] that your readers might find useful: [link to your guide]
Would you consider adding it as a resource?
Best,
[Your name]Automated series of emails with waits and conditions, reused across campaigns. Create sequence opens the Sequence builder, with its steps and their numbers. See Campaigns and sequences.
The sending rules:
Gmail: your mailboxes, managed right here. Connect adds one; on each mailbox, Reconnect it, Start warmup or Remove account, and the pencil sets its display name, signature, daily send limit (1 to 500) and warmup (see Sending outreach emails)
Domain blacklist: Add in the card blocks sending to a domain; pending emails to it are cancelled
Unsubscribes: the addresses that opted out, with the reason and date; you can remove one from the list
Start small: test a campaign on a small list, read the open and reply rates, then send to more
Segment: build lists by role, tier or topic, and write to each one
Keep sequences short: 2 or 3 follow-ups at most, a few days apart; a reply stops the sequence for that contact
Keep the data clean: merge duplicates, remove bounced addresses and respect unsubscribes
Tab | Use it to |
