# Using the article editor

Edit a generated article, improve it with AI edits, check its quality and details, and get it ready to publish.

Click any article in **Content > Articles** to open it in the editor. What you see depends on where the article stands: a draft waits to be generated, a running article shows its progress, and a written one opens for editing. Editors can change everything; viewers read the article as it is.

## Before it is written

A draft opens on **Ready to generate** with two buttons:

- **Preview outline** (1 credit): researches the topic and shows the **Proposed outline** so you can agree on the structure first. Click **Regenerate outline** to try again.

- **Generate article** (10 credits, 9 when it reuses an outline preview you paid for and the inputs have not changed since).

While the article is written, the editor lists each step (**Researching your topic**, **Structuring the outline**, **Writing the draft**, **Polishing the copy**, **Creating images**). It usually takes 4 to 5 minutes, and you can leave the page.

## The layout

<table style="min-width: 50px;"><colgroup><col style="min-width: 25px;"><col style="min-width: 25px;"></colgroup><tbody><tr><th colspan="1" rowspan="1"><p>Area</p></th><th colspan="1" rowspan="1"><p>What it holds</p></th></tr><tr><td colspan="1" rowspan="1"><p><strong>Header</strong></p></td><td colspan="1" rowspan="1"><p><strong>Back</strong>, the article title, a <strong>Failed</strong> badge when the run failed, the save status (<strong>Saving…</strong>, <strong>Saved at</strong> a time), <strong>Save now</strong> while an edit waits, <strong>Copy</strong>, and the <strong>More actions</strong> menu</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>Editor</strong></p></td><td colspan="1" rowspan="1"><p>The article, with a formatting toolbar and <strong>Fullscreen editor</strong></p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>Side panel</strong></p></td><td colspan="1" rowspan="1"><p>The tabs <strong>AI</strong>, <strong>Details</strong>, <strong>Contents</strong> and, with client review, <strong>Comments</strong>. <strong>Hide panel</strong> folds it away</p></td></tr></tbody></table>

On a phone the panel's tabs sit above the article as **Edit**, **AI**, **Details** and **ToC**, and **Copy** moves to the **Details** tab.

The title is edited in the header. A counter next to it turns amber outside 50 to 60 characters, the length search engines show whole.

The **More actions** menu holds **Publish** (or **Update** once the article is live), **Share for review** (Agency Plus), **Set reminder**, **Download HTML** (a self-contained web page with the images embedded) and **Download Markdown**.

## Editing the text

The toolbar has headings (**Heading 2**, **Heading 3**), bold, italic and underline, bullet, numbered and task lists, links, images, YouTube videos, blockquotes, code blocks, tables, and undo and redo. The shortcuts are Ctrl+B, Ctrl+I, Ctrl+U, Ctrl+Z and Ctrl+Y.

Select text for a quick menu: bold, italic, underline, **Add link**, **Make a FAQ question (H3)**, **Mark as quotable**, **AI edit** and, when the article is shared for review, **Add comment**.

An article imported or pasted from another page keeps its inline formatting here: table borders and widths, boxes such as a quick answer with their background, border and padding, text alignment, image sizes, and headings down to H6. Styles that could load or run something, such as background images or fixed positioning, are removed. WordPress and Shopify publish the formatting as it is; Ghost, Webflow and Wix rebuild the body in their own editor, which keeps tables and images but not inline styles.

**Insert image** lets you pick from your **Library**, **Upload** a new image (JPEG, PNG, WebP or GIF up to 5 MB) or use an image **URL**.

Edits save on their own a couple of seconds after you stop typing; the header says **Saving…** and then **Saved at** the time. **Save now** (**Save** on a phone) or Ctrl+S (Cmd+S on a Mac) saves at once. If the connection drops, the editor keeps retrying and says **Not saved yet, retrying**; if you leave before an edit is saved, it asks first. Nothing saves while the article is being written or published, or for a viewer.

If the article was saved somewhere else while you edited (another tab, a teammate, or the agent through the canvas or the API), the editor stops and asks: **Load the newer version** keeps their changes, **Overwrite with mine** puts yours over them. The agent's canvas saves the same way.

## AI edits

Select text and click **AI edit**, then type what you want ("How should I edit this?") or pick a ready instruction: **Make shorter**, **Add a stat**, **Convert to FAQ**, **Add brand mention**, **Rewrite as a comparison table** or **Add a CTA**. Click **Apply AI edit**. The edit follows your [brand voice](https://help.rankprompt.com/en/articles/55-brand-voice.md): the edit box shows the tone, whether a writing style applies and how many phrases are banned. A selection can be up to about 2,000 words.

To change an image, click it and pick **AI edit image** ("How should I change this image?") or **Replace image**.

The **AI** tab keeps the **Edit history** of the article: each instruction, its before and after, and **Undo this edit**. It also shows how much AI budget is left. AI edits of text and images spend the brand owner's AI budget, not credits, and need Starter or higher on the brand owner.

## The Details tab

### Quality

The top of the tab scores the article from 0 to 100, recomputed as you edit, on citation hooks, structure, keyword coverage, snippet readiness and craft. Hover it for the checks that failed, such as "Keyword missing from the first paragraph" or "Meta description outside 110-160 characters".

**Sources** reports the link check made while the article was written: source links that did not load were unlinked with their text kept, links worth a look are listed, and a figure that was not found on its source is flagged. When a fact in the article ages, the panel shows the date it is due for a review.

If the article uses one of your banned phrases (the brand's or the ones its form blocked), **Banned phrases in use** lists each sentence with the phrase, and **Fix with AI** rewrites that sentence without it, keeping its facts and links. The rewrite is an AI edit: it spends the AI budget and can be undone from the **AI** tab.

### What Google ranks

Below the quality score, **What Google ranks** is the record of what Google showed for the article's keyword, in your market, when the article was researched:

- **Length**: a bar for each of the top pages next to this article's, with the median of the readable ones. A page that blocks reading says **not readable**.

- **Most top pages cover**: the subtopics at least half of the top pages cover. A tick means this article covers it too; an open circle means it does not yet, which is a cue for an edit.

- **People also ask**: the questions Google shows for the keyword.

Articles written before this record existed show **No search results recorded**.

### Settings used

**Settings used** lists what the article was written with: language, tone, length, audience, restrictions, AI tools, knowledge and sources. Each one says where it came from: **This article** (set in **Create content**), **Brand default** (from [Brand voice](https://help.rankprompt.com/en/articles/55-brand-voice.md)) or **System default**. When the article is written again, for example after a failed run, it keeps the brand values listed here even if the brand's defaults changed since; the agent and the API can ask for today's defaults instead.

### Fields

<table style="min-width: 50px;"><colgroup><col style="min-width: 25px;"><col style="min-width: 25px;"></colgroup><tbody><tr><th colspan="1" rowspan="1"><p>Field</p></th><th colspan="1" rowspan="1"><p>What it does</p></th></tr><tr><td colspan="1" rowspan="1"><p><strong>Tags</strong></p></td><td colspan="1" rowspan="1"><p>Categorize the article; they publish as tags</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>Focus keyword</strong></p></td><td colspan="1" rowspan="1"><p>The main keyword it should rank for; SEO plugins such as Yoast read it</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>SEO title</strong></p></td><td colspan="1" rowspan="1"><p>What search results show, when it should be shorter than the title. The counter turns amber from 55 characters and red past 60; empty uses the title</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>URL slug</strong></p></td><td colspan="1" rowspan="1"><p>The path of the article: lowercase letters, numbers and hyphens</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>Meta description</strong></p></td><td colspan="1" rowspan="1"><p>The summary in search results; keep it between 110 and 160 characters</p></td></tr><tr><td colspan="1" rowspan="1"><p><strong>Featured image</strong></p></td><td colspan="1" rowspan="1"><p>The main image for your site and social previews, with its <strong>ALT</strong> text</p></td></tr></tbody></table>

**Search preview** shows how the title, address and meta description look in search results.

For the featured image, **Change image** opens the image picker with a fourth tab, **Generate with AI**: describe the image, or leave it blank to use the focus keyword. Generating a new image costs 1 credit.

### Links back from your related posts

Once the article is live on a connected site or your hosted blog, the foot of the **Details** tab lists **Link to this article from**: the three to five posts of the same site closest to it (found in its sitemap, in Search Console and among your other live articles), each with one sentence written to link here and the paragraph it would follow.

- **Apply** adds the sentence after that paragraph, then checks that the public page shows the link. On WordPress (connected or hosted) it goes straight onto the post; on other platforms, or when the public page does not show the edit, a task with the sentence to paste lands on your board.

- **Dismiss** leaves the post as it is. A dismissed link can still be applied.

- To add them without a click, turn on **Add the links back automatically** above the list (also in **Brand settings > Voice**). It applies to every article of the brand that goes live, whether you publish it or Autopilot does.

Needs editor access on the brand and Starter or higher on the brand owner. The links back come with the article's credits: nothing more is charged, and your AI budget is not used.

## The Contents tab

An outline of the article's headings (H2 and H3). Click a heading to jump to it.

* * *

## When generation fails

The editor shows **Generation failed** with the reason. The credits held for the run came back. **Retry generation** runs it again and charges it again.

* * *

## Reminders

**Set reminder** (in **More actions**, or in the article's menu in the list once it is published) asks for a date, with quick picks of 30, 60 and 90 days, and optional notes. It creates a "Review: ..." task due on that date, and you get an email when it is time.

* * *

## Client comments (Agency Plus)

After you **Share for review**, the **Comments** tab shows your client's comments, anchored to the text they selected. Reply, resolve, or select text and **Add comment** yourself. See [AI content generation overview](https://help.rankprompt.com/en/articles/50-ai-content-generation-overview.md) for the whole review flow.

## Best practices

1. **Read it once in full.** Check every figure the **Sources** check flags.

2. **Fix the failed quality checks.** They are the fastest way to a higher score.

3. **Write the meta description yourself** if the generated one is outside 110 to 160 characters.

4. **Set a reminder** for articles with figures that age.

5. **Apply the links back** once the article is live.
